As a System Administrator, you nominated the number of users for your Deputy plan when you signed up for an annual account. You can learn more about what counts as a user in Deputy for billing purposes.
When it's time to renew your annual plan, you have the ability to change the number of users.

How to purchase additional users on an annual plan in your global profile
1. Log into once.deputy.com and click Settings on the business you would like to add users to.
2. Click Subscriptions on the left-hand side of the screen, then click on Purchase additional users.

3. Enter the number of additional users you'd like to add to your annual plan. The amount you'll be charged will be calculated and displayed. If you need to update your payment information, click Edit Payment Details otherwise, click Purchase additional users.
- If you’re on an Annual plan (Annual paid monthly or Annual paid upfront), you can add users at any time during the 12-month period. However, you can't switch to a lower-tier (eg. Core to Lite) or reduce the number of users until your plan renewal.
- In the weeks before your annual subscription is due to renew, you'll receive a reminder and you can then add or reduce the number of users you wish to pre-pay for in the next 12 month period.
- If you decide to add additional users to your Deputy annual plan throughout the year (above the number of users you specify when you renew or sign up for your annual plan), you'll be billed at the time of adding them. You'll be billed for the extra users at the prorated annual rate for the amount of time remaining on your initial annual term.
- You can cancel your plan before your 12 months expires, however, there are no refunds in this instance.
Decreasing the number of users on an annual plan
You're unable to decrease the number of users you have on an annual plan during the term of the plan.
However, when you renew your annual plan you're able to reduce the number of users you require for the upcoming annual period.
Increasing the number of users on an annual plan with an annual add-on subscription
If you're on an Annual base plan and subscribe to an Annual add-on, for example Deputy HR (Annual Plan), the following apply:
- Any additional users you add during the 12 month period will be added for both the Annual base plan and Annual add-on, so you are pre-paying those additional users for both plans.
- You can't add additional users to just a base plan or just an add-on. Additional users apply to both.
- Similarly, you can't purchase a different number of additional users for either Annual plans.
- You can't decrease the number of users you have on an annual plan for the add-on subscription during the term of the plan. However, when you renew your annual plan you're able to reduce the number of users you require for the upcoming annual period.
