This article will take you through the steps to cancel your Deputy subscription and will cover:
Note: This article does not apply to those subscribed to a Deputy Enterprise plan. To cancel an Enterprise subscription, please send a request to csm@deputy.com.
Before you start
To cancel your subscription you'll need to:
- be a System Administrator for the business you want to cancel
- log in via Deputy's web application to once.deputy.com
- make copies of historical data in your account using Deputy's exporter if needed
- archive all active users
- download any documents that were uploaded to Deputy as files (for example in news posts or training records) that you wish to have access to after your subscription ends.
Please also note that for billing purposes:
- you can cancel your pre-paid annual subscription before your 12-month plan expires but no refunds for the remaining months will be given in this instance.
- you can cancel your monthly Deputy plan at any time throughout the month and a final monthly invoice will be produced and charged to the payment method on file when you cancel.
How to cancel your subscription
Monthly Plans
Note: you can cancel your monthly Deputy plan at any time throughout the month and a final monthly invoice for that month will be produced and charged to the payment method on file when you cancel. You'll lose access to your Deputy account as soon as you cancel your subscription.
- Log into once.deputy.com and click Settings for the business you want to cancel a subscription for.
2. Select the Subscriptions tab on the left-hand side. Scroll down to the bottom of the page and click Cancel subscription.

3. In the pop-up window, select a reason for cancelling, then click Cancel subscription.
Note: A final invoice for the month will be generated and charged to your saved payment method. You'll lose access to your Deputy subscription immediately after you click Cancel subscription.
Annual Plans
You can cancel an annual subscription at any time but no refunds will be given for the unused portion and you'll lose access to your account as soon as the cancellation has been completed.
1. Log into once.deputy.com and click Settings for the business you want to cancel a subscription for.
2. Select Subscriptions from the left-hand side menu. You can see your expiry date is noted towards the top of the screen. Click Cancel Deputy Subscription.

3. In the pop-up window, select a reason for cancelling, then click Cancel subscription.
Note: Once you've cancelled your subscription, you'll lose access to your account shown on the Subscriptions tab. Please ensure you've already downloaded all required information before you cancel.
When you cancel a prepaid annual subscription before the 12-month term ends, no refunds will be issued for the unused weeks or months.
Add-ons
If you're subscribed to an add-on like Deputy HR or Analytics+, System Administrators can cancel that subscription separately from the main Deputy plan.
To cancel your add-on subscription:
1. Log into once.deputy.com and click Settings for the business you want to cancel a subscription for.

How to delete your business in Deputy
System Administrators can't delete an organisation while an active subscription is in place. To delete a business in Deputy, you must first go through the process to cancel your subscription.
Once your subscription has been cancelled, or if your account is still in the trial period, you can delete your organisation.
IMPORTANT: Deleting your organisation will permanently remove all data and history associated with your business. This action cannot be undone.
1. System Administrators should log in to once.deputy.com and click on Settings for the business they wish to delete.
2. On the General tab, click Delete this business.
Note: Don't see Delete this business? This means you still have an active subscription so you'll first need to cancel your subscription.
3. Read the warning about losing all data and history associated with your business, and if you agree, click Delete this business.
4. You'll see the business is no longer displayed in your account as it has been deleted. If you, as a System Administrator, would also like to delete your own personal profile with Deputy, you can then also do that as long as you're no longer linked to any other business in Deputy.
