How can this report help my organisation?
Minimise time theft and prove team members were at the place of expected work using and by providing an audit log of latitude and longitude with each clocking action (clock in, clock out, break start/end).
What questions can this report help me answer?
- What is the latitude and longitude of each clocking action so I can provide to clients I service such as an agency that bills for off-site services with Medicaid or a cleaning company proving that employees were at the correct work site for the entire shift.
What is in the Geolocation audit report?
Filters
The stats and table in this report will be acted upon using the built-in drop-down menus to select specific:
- Date range (This defaults to the last 30 days but you can select to filter a specific date range if required) Note: the asterisk indicates this filter is required to be set to run the report.
- Location
- Team member
- Geolocation Type (Clock in, Clock out, Break start/end)
- Location Status (Active or Archived)
- Team member Status (Employed, Archived)
Stats of clock in and out distances
The first section of the report shows a summary of the:
- Average distance between team member's clock in/out coordinates and the coordinates of the area (if the physical address of the area is used) or location for the date range and criteria set in the filters above.
- Percentage of clock ins and clock out coordinates that are more than 100m from the coordinates of the area (if the physical address of the area is used) or location for the date range and criteria set in the filters above.
Table of clock in and out details
A table listing all team members' clock in, clock out and break started/ended events based on the criteria selected using the filters above.
Click on the + next to each team member's name to expand the rows of data. Click - to collapse the rows again. Clicking the + and - next to the Team member header will expand and collapse all rows.
The table of team member's clock in and clock out details contains the following data fields:
- Team member
- Average distance
- Timesheet start time (YYYY-MM-DD HH:MM:SS)
- Timesheet end time (YYYY-MM-DD HH:MM:SS)
- Geolocation type (clock in, clock out or Break start/end)
- Distance (between clock in/out coordinates and the coordinates of the area or location)
- Latitude (of the clock event)
- Longitude (of the clock event)
- Timesheet Location name
- Location Latitude
- Location Longitude
- Timesheet Area Name
- Area Latitude
- Area Longitude
Tip: Use the Geolocation map report to see clocking events mapped out with pins.
Still curious to see the exact location of a specific set of Latitude and Longitude coordinates that have been reported in Deputy? Perhaps, they have already been exported as raw data in an excel file.
Simply right click on the value in the Latitute and Longtitude column to copy to the clipboard. Note: You will need to copy and then paste one value at a time.
Paste each value, one at a time, into a search bar of an online map such as Google maps with the values separated by a comma.
Click Search or hit Enter/Return.
The location of the coordinates will be plotted on the map.
