How do I cancel my Deputy HR subscription?
What is Deputy HR?
Deputy HR is an add-on subscription, seperate from your Deputy base plan, that gives you access to a range of HR-focused tools designed to improve your HR management abilities. The key features include:
- Hire - applicant tracking system: Streamline your hiring process by managing and tracking job applicants efficiently. This feature simplifies candidate selection, communication, and overall recruitment tasks. Read more about Hire.
- Documents - manage & store employee documents: Securely store and manage essential employee documents, such as contracts, certifications, and other HR-related paperwork. Read more about Documents.

What is the cost of Deputy HR?
All Deputy plans (except Flexi)
You have the option to sign up for a monthly subscription or annual subscription.
For customers on a Flexi plan, skip to our section on Flexi plan pricing.
Monthly subscription
When you subscribe to Deputy HR from your existing Deputy plan (except Flexi) and choose a monthly billing schedule, there will be an additional cost of:

The Deputy HR fee applies to all users within your account that are not archived.
This monthly fee includes users who at any point in that month have been:
- added to your account but not invited to join Deputy yet
- sent an invite but have not joined your Deputy account yet
- sent an onboarding form but have not completed it yet
That is, if you add a user part-way through a month, you will still incur a charge for Deputy HR in that month.
If you archive a user part-way through a month you will still incur a charge for Deputy HR in that month but not the next month.
Annual subscription
With annual billing, there are two payment options to choose from. Both give you access to the same 10% discount - the difference is how you prefer to pay.

If you sign up for an annual subscription, your subscription will auto renew for another 12 months on your subscription end date unless you either choose to revert to the monthly subscription at the end of the annual period or cancel your subscription. You can only make changes to your annual subscription in the last 30 days of subscription period.
When you opt to pay for your HR subscription annually, you pre-pay for a nominated number of users for a 12-month period, together with your annual Deputy base plan. You can also add extra users as you go along to take advantage of the same annual discounted rate. Any overages above the number of users you've pre-paid for will be charged at the full monthly fee of Deputy HR.
You can also reduce the number of pre-paid users, if needed, when it is time to renew your annual plan.
Flexi Plans
For Deputy Flexi plans subscribing to Deputy HR, there is an additional cost of:

How do I subscribe to Deputy HR?
You can subscribe to Deputy HR at any time via in-app self-serve at once.deputy.com, or speak to your Deputy sales contact or Customer Success Manager.
Problems subscribing to Deputy HR?
Deputy users who sign up for Deputy via a third-party marketplace such as the Apple App store or Xero marketplace will be offered a free Deputy HR trial.
At the conclusion of the Deputy HR trial period, you will not be able to sign up for Deputy HR while still subscribed to Deputy via the Apple app store.
You may receive error messages such as "Try again" or "You are not eligible to subscribe to this add-on product" when attempting to subscribe.
To subscribe to Deputy you will need to cancel your subscription via the Apple App store or Xero marketplace to manage the subscription directly with Deputy. You will then be able to subscribe to Deputy HR.
How do I cancel my Deputy HR subscription?
If you have subscribed to Deputy's add-on HR subscription, System Administrators can cancel that subscription independently of their Deputy plan subscription.
Monthly subscription for Deputy HR
- receive an invoice for the HR subscription charges for that full month in which you cancel
- retain access to full Deputy HR functionality until the end of that month
However, at the end of that month:
- you will lose access to view, update or download documents uploaded during the time you were subscribed to Deputy HR
- you will lose access to new hire onboarding forms completed during the time you were subscribed to Deputy HR but you can delete previously uploaded documents.
- you can no longer access Deputy Hire. Therefore, you can no longer create new job listings or manage existing job listings. The Careers page will no longer be available for your Deputy account.
- team members you onboarded to Deputy using Deputy HR will still maintain an employee profile in Deputy (unless you choose to archive or delete them)
- if you resubscribe to Deputy HR at a later date you will regain access to onboarding templates you created, employee documents previously uploaded and job listings previously created and applied for.
Annual subscription for Deputy HR
If you're on an Annual Paid Monthly subscription, you can cancel at anytime, but you’ll need to pay the remaining balance for your subscription term.
If you're on an Annual Paid Upfront subscription, you can cancel anytime, but no refunds are provided for the unused portion.
IMPORTANT: Once you cancel your Annual HR subscription, the following applies immediately at cancellation:
- you will lose access to view, update or download documents uploaded during the time you were subscribed to Deputy HR
- you will lose access to new hire onboarding forms completed during the time you were subscribed to Deputy HR but you can delete previously uploaded documents.
- you can no longer access Deputy Hire. Therefore, you can no longer create new job listings or manage existing job listings. The Careers page will no longer be available for your Deputy account.
- team members you onboarded to Deputy using Deputy HR will still maintain an employee profile in Deputy (unless you choose to archive or delete them)
- if you resubscribe to Deputy HR at a later date you will regain access to onboarding templates you created, employee documents previously uploaded and job listings previously created and applied for.
How to cancel your HR subscription
