MYOB company file password is incorrect
When the company file was created, a user called "Administrator" was automatically created. This account was not automatically assigned a password when created.
To fix this error message, you will need to set a password for the Administrator in MYOB.
As the account file "Administrator", start AccountRight and open your company file.
At the top of the page, under the Setup drop-down menu select User Access then select the Administrator account.
For online files only: If you have selected this option, the user will sign on with a my.MYOB account. Click Set an offline password.
Now type your new password in the Password and Confirm Password fields.
Please note: User passwords can’t be recovered. If you forget the password of your account, you’ll need to get another administrator to set a new password for you. This is done in the Setup > User Access window. See To reset a user's company file password.
If your file only has one administrator account, and you’ve forgotten its password, MYOB can reset the password over the phone (a fee will apply). If your file is not online, you’ll need to send it to MYOB to have the password reset. For more information about MYOB's Password Recovery service, visit the MYOB website (Australia | New Zealand).
Now click Save.
If more than one person will be accessing your company file, you will need to set them up as a user and specify their access restrictions for the file.
Your credentials were incorrect when connecting to MYOB Business
The first time you connect your Deputy location to MYOB you will be asked to log into MYOB with the email and password you use to access MYOB. If you are not able to connect at this stage, please ensure your MYOB login has the necessary administrator access in MYOB and you are trying to connect to a version of MYOB that Deputy's integration supports.
Once you have successfully entered your MYOB login email and password you will need to authorise Deputy to access your account. The company name in MYOB should be displayed and you will need to type the word "Administrator" and then leave MYOB password file blank and click save.
If you do not enter these details then you will get the following error.
Why can't I connect Deputy to my MYOB AR account?
-
Have you put the MYOB account online?
-
Do you have administrator access to MYOB AR? User permissions can be managed in MYOB under Setup > User access
Export failed: Error 400 maximum allowed characters for description is 31
When exporting timesheets from Deputy to MYOB Buinsess or Account Right Live an Export failed 400 error is generated.
Edit the pay rate export code to be 31 characters or less (including spaces) as explained here.
Why?
- In MYOB the Export Code is limited to only 31 characters.
- Many pay rate library names are much longer than 31 characters so need to be manually edited to less than 31 characters to work with MYOB exports.
- You are able to edit the export code in the Deputy timesheet yourself before you export it. However, if you are setting up many awards or many items within an award to export and having problems with the 31 character limitation we suggest you call our 24/7 support for assistance so we can help you ensure that all the items you are exporting are edited to the correct length. Just one export code that is too long will cause an export error.
- Since the shortened export codes will ultimately be pushed to your MYOB account you should consider what you want the codes to be amended to that will be meaningful to you in your MYOB account.
- Deputy will push all valid pay rate library pay rates/award items through to MYOB AccountRight on the first push (first export). This push includes the creation of pay rules and assignment of multiplier values
- On subsequent exports/pushes, Deputy will look for matches in export codes and pay rules. If Deputy does not find a match it will create the pay rule again in MYOB. Therefore, you should be careful to ensure that export codes for the same pay rate remain constant if you wish to avoid unnecessary duplication in MYOB AccountRight.
- You only need to shorten an export code once, Deputy will remember it for the next time you export that code. However, if you change an award pay rate in Deputy (eg. the employee gets a pay rise), even if it's for an existing assigned pay rate library/award then the integration will treat it as a new pay rate and reset the export code to push across to MYOB AccountRight so you will need to manually change it to the assigned export code shorter than 31 characters.
Export Failed: ERROR 400 Company File Preference for Timesheet
This error occurs when exporting timesheets to MYOB
Ensure you have set your timesheet preferences in MYOB to turn on timesheets for Payroll before exporting from Deputy.
Export failed: Common rules string no leading spaces, error 400/1022
This error occurs when exporting timesheets from Deputy to MYOB.
Remove any leading spaces within the timesheet export codes, click Save and export the timesheets again.
Employee does not exist in MYOB
When exporting timesheets you get the error that an employee was not found in MYOB.
Check the employee is set up in both Deputy and MYOB with identical details including these fields:
- Payroll ID (in Deputy) and Employee number or Card ID (in MYOB depending on your MYOB version) must match
- First Name
- Last Name (in Deputy) Family or Surname (in MYOB)
- Email address
Note: If your employee uses their middle name, please place that name in the same text box in both Deputy and MYOB.
Also, ensure they are designated as employees in their Card Information and that they are an 'Individual' not a 'Company'.
Export Failed: ERROR Invalid token or Access denied
This error can occur if:
- The locations you are exporting from are not properly connected with the integration
- The user that had originally set up the integration had been archived or had an access level downgrade in Deputy (needs to be a System Administrator, Location Manager, or Advisor) and/or MYOB, which makes the token issued for the user invalid. To fix this, please ensure to log in as a valid user with the proper permissions in both systems and try disconnecting and reconnecting the integration in Deputy to refresh the token.
I am connected to my MYOB AccountRight account in Deputy but the timesheet export fails - why is this?
- Check that the check box in MYOB AR setup within system preferences indicates you will be using use timesheets in MYOB AR
- Please review the setup process as a step may have been missed
Can I use Deputy timesheets to record my salaried workers hours and export them to MYOB?
No, the integration only allows exporting of hourly workers timesheets from Deputy to MYOB.
Why should I tick the box during export to MYOB Business or Account Right Live to allow Deputy to replace MYOB's base hourly rate?
Deputy always creates award items in MYOB as multipliers of the employee's base rate. To ensure the correct pay is getting sent through the "Replace MYOB's base hourly rate with Deputy's base hourly rate" should always be ticked.
- For example - GRIA M-F Ordinary will be a 1x multiplier of the employees' Base Hourly Rate
What happens if I don't set my hourly workers' standard hours to zero before exporting timesheets from Deputy?
If there is a numerical value left in there, then when the timesheets are exported into MYOB the hours in the timesheets will be added on top of the standard hours.
Can I sync onboarded team member details to MYOB?
Currently, you are unable to sync the details of onboarded employees from Deputy to MYOB. If this is a feature you'd like to see please let us know.
