This article provides the step-by-step instructions for System Administrators and Payroll Administrators to send payslip notification emails to multiple team members after completing a pay run.
Before you read
- This article is for users with System Administrator or Payroll Administrator access.
- The email your team members will receive contains a secure link, not a PDF attachment, which requires the team member to log into Deputy to view their sensitive information.

How do I send payslip notification emails in bulk?
- After completing and locking a pay run, go to the Payrun overview page.
- In the final step of the pay run process, look for the Notify staff section.
- Click Send Payslips.
- A Send payslips window will open. By default, all team members with an email address will be selected for the pay run's period.
- Optional: Use the Filter options to narrow the list of team members based on their Employment type or Location.
- Tick the box next to the names of the team members you want to email, or click the Team member heading to select or deselect all shown team members.
- Click Email X payslip (where X is the number of payslips you are sending).

The emails are sent in the background. You'll receive a notification in your Deputy inbox when the process begins and when it's successfully sent.
What requirements must a team member meet to receive the email?
To receive a payslip notification email, a team member must meet the following requirements:
- Have an email address set up in their Deputy profile.
- Have an activated Deputy account. They must have successfully logged in to Deputy at least once.
If a team member has an email address but has not activated their account yet, the first email they receive will invite them to set up their account.
