Reporting on team member engagement with Shift Pulse+ Reporting
What is Shift Pulse?
Shift Pulse
Shift Pulse is a simple way for your team members to be heard, and for managers to track team engagement and take action if required.
Shift Pulse will help you easily capture continuous feedback from your team members at the end of each shift in Deputy. A simple, one-step way for your team to share how they’re feeling, Shift Pulse gives your team the option to share an anonymous response to how they are feeling and add a short comment about their shift.
Shift Pulse+
Shift Pulse+ is part of the optional add-on Deputy HR subscription and provides additional flexibility to customise the set-up, use and reporting on team engagement with Shift Pulse.
How does it work?
Shift Pulse is available for Premium, Enterprise or Flexi Deputy plans where your team uses the Deputy mobile apps and or Deputy Kiosk for iPad to clock out of their shifts.
Note: Shift Pulse is not currently available when using the Deputy website, Deputy Web Time Clocks or the Deputy Time Clock for Android apps to clock out.
At the end of their shift, your team members will be asked an optional Shift Pulse question about how they are feeling and given the chance to leave an anonymous response and comment. They can choose to skip responding to the question if they prefer.
The results of this feedback will be available for managers to review on the Deputy website and in the Deputy mobile app.
To access all the additional Shift Pulse+ features you will require an add-on Deputy HR subscription however a limited number of features will still be available to Deputy accounts without a Deputy HR subscription.
How to enable and configure Shift Pulse+
Shift Pulse is enabled by default on all new Deputy accounts however, System Administrators can also enable and configure Shift Pulse in their accounts by selecting Business settings from the drop-down menu under their name.
Enable Shift Pulse
On the Timesheets tab, ensure Capture Shift Pulse is toggled to on.
Note: to disable or remove Shift Pulse from your Deputy account simply toggle off Capture Shift Pulse and click Apply Changes. This will have the effect of:
- no longer presenting Shift Pulse questions to your team members at the end of their shifts
- managers will not see any data on the Team engagement tab in the People page or on the Deputy mobile app
- The Shift Pulse Report on the Reports tab will display historical data (only if you have a Deputy HR subscription)
Configure Shift Pulse+
Deputy accounts with a Deputy HR add on subscription are able to further customise the Shift Pulse to change settings related to:
- the question you ask your team members
- how often you ask them
- the rating scale and emojis used
- which team members will be presenting with Shift Pulse according to role in Deputy
- which locations and areas you wish to be presented with Shift Pulse
To customise Shift Pulse+ click on Customise HR.
Read more about the settings you can customise within Shift Pulse+ with a Deputy HR subscription.
Note: if you change the Shift Pulse question or response options after you have used Shift Pulse for a while in your account then this will affect the historical reporting data. Read more.
Update Deputy mobile app and Deputy Kiosk for iPad apps
To ensure your team members will receive the Shift Pulse question correctly please ensure that all Deputy mobile and kiosk apps are up to date.
- If your workplace uses the Deputy Kiosk for iPad please ensure it is updated to the most recent version in the app store.
- Please also ensure that your team has updated their mobile apps to the most recent version in the App store or Play store:
Which Shift Pulse+ features require a Deputy HR subscription?
Shift Pulse is available in all Deputy accounts however to access certain features you will require an add on Deputy HR subscription including:
- the ability to customise the Shift Pulse question presented to your team
- viewing all historical team engagement data and reports from any date you choose
- viewing all comments from your team (presented anonymously)
- viewing comments from the last 30 days on the Deputy mobile app as a manager
What if I don't have a Deputy HR subscription?
You can still use Shift Pulse without a Deputy HR subscription however you will be:
- limited to the Deputy default Shift Pulse question 'How did you feel during your shift today?' and you will not be able to customise other settings related to the functioning of Shift Pulse
- limited to viewing only the past 7 days worth of data and you can not use the date selectors to view other date periods
- limited to viewing only a selection of comments as opposed to all comments submitted by your team
- not able to view comments while logged into the Deputy mobile app, only a comment count is displayed to managers.
Reporting on team member engagement with Shift Pulse+ Reporting
Once your team start responding to Shift Pulse questions, managers can review the feedback by logging into the Deputy website.
On the People tab, expand the Deputy HR menu on the left-hand side and select Team engagement.
The Deputy HR Team engagement page will display:
- an overview of the average Shift Pulse scores calculated over the past 30 days, where a score of 5 is the most positive and 1 is the least positive
- sentiment over the past 30 days which is calculated by comparing the average shift pulse score for the previous 30 days to the average shift pulse score for the 30 days before that and expressing the change as a percentage.
- trends over the past 6 weeks displayed as a graph, hover the mouse over data to see more details
- comments from the past 30 days
If you click on any detail on the page or the View Report button you will be linked to even more team engagement detail in the Shift Pulse Report on the Reports tab.
Note: If your account does not have a subscription for Deputy HR you will instead see a basic version of this page showing shift pulse trends from the past 7 days with the option to view the Shift Pulse report.
Shift Pulse+ reporting on mobile for managers
Managers who use the Deputy mobile apps will also be able to review team engagement on the Home tab under Engagement.
When you tap on View feedback you will see:
- the Shift Pulse score and reaction counts from the past 30 days (or 7 days if you do not have a Deputy HR subscription)
- comments from the past 30 days (if you do not have a Deputy HR subscription you will only see a comment count)
