Why are there applicants and job listings already in my account even though I haven't used Hire before?
We've pre-populated Hire with some sample job listings and applicants so you see how it works and test out Hire before you add your own jobs.
Don't forget to delete these sample job listings before sharing your Careers page publicly.
On the Applicant page, why doesn't the number listed for each application status match what I'm seeing in each tab?
On the Applications page in Hire, you can see each application is grouped by the status of the application with a number displayed to show how many applications are at each status.
If you find that the number next to each Status header does not match the number of applications you can view, it may be that you have a filter applied that is 'hiding' some applications.
In the example below there are 3 New applications but only one is showing. That is because a filter for working rights has been applied to the page so that only some applications that fulfil the filtered criteria are shown.
To see ALL applications click on Clear to reset the filter.
How many screening questions can I ask a candidate?
You can create up to eight default screen questions but you can edit these to be a different set of eight questions for each job listing you create if needed.
If the default screening questions don't apply to my job listing can I change them for this job only?
Yes, while creating a new job listing, if you find that your organisation's default screening questions don't apply, you can click on Edit/Add question to amend or delete them and the changes you make will only apply to this job listing.
You can also change the default screening questions for all future job listings on the Settings tab.
Other than the questions I create, what else will the applicant be asked?
- By default, every job applicant will be asked to:
- Agree to the terms and conditions
- Fill in personal particulars (full name, email, phone number, postcode)
- Upload their CV or resume
- Answer a question regarding their working rights in Australia
- Answer your organisation's screening questions
- Answer your organisation's video question after enabling camera & microphone access permission
Are managers notified when a job application is submitted?
Yes, in Hire Settings you can configure multiple managers to be notified when new job applications are submitted.
Note: the manager email notification is generated as soon as the candidate enters their email address and mobile phone number even if they don't complete the application and submit a full application for your job listing.
Why should I record a business introduction video for my job listings?
While not a mandatory setting, recording a business introduction video for your job listings will put the candidate at ease and it's a chance for the manager to give a friendly introduction to their business.
You can use this option to add more personality to your job applications and showcase your workplace culture.
Do I have to ask a candidate video question?
Yes, this is an integral feature of Hire that is currently not optional but we are open to feedback.
How many video questions can I ask?
You can set up six different candidate video question prompts for your organisation in Settings however you can only select one of those questions to be presented to the job applicant for each job listing.
How do I inform unsuccessful applicants?
When you mark an applicant as Not suitable from the Applicants page you have the option to customise and send a text message to the applicant advising them of your decision.
You can then click Archive applicant to remove the application from your active list.
Can an archived applicant be unarchived?
No.
What video formats are suitable?
Either MP4 or MOV files can be uploaded for use in Hire. Please note that some Android devices may have difficulties playing back MOV files
When I hire a new team member what is the difference between Onboard team member and Add team member?
In Hire when you mark an applicant as Hired you will be asked whether you want to invite the new team member to self-onboard or whether you want to add the team member's details to Deputy manually by clicking Add team member. Let's look at the difference in each option:
