This article explains overtime tags and how to enable overtime warnings for your location. This allows you to be able to better review the overtime data displayed on your schedule.
Before you read
- This article is for users with Location Manager or System Administrator access.
- You must use one of our support library rates in the Payrate Builder. Legacy pay rate configurations do not support these warnings.
This article covers
- How do I see overtime on the schedule?
- How do I enable overtime warnings and shift confirmations for a location?
- What information do overtime warnings show?
How do I see an overtime tag on the schedule?
An overtime tag will appear on any shift that Deputy identifies as triggering overtime under the team member's pay rates.
-
Open the Schedule tab.
-
When creating, editing, or moving a shift that will force an overtime penalty rate, an Overtime warning will appear. Click Total to review.
- Here you will see a cost breakdown, including the pay rate, which has been triggered and flagged as overtime.
How do I enable overtime warnings and shift confirmations for a location?
You can turn on warnings that appear on the schedule, and shift confirmations will be required to approve adjustments, helping raise awareness of overtime.
To turn this setting on:
-
Click Locations and Edit Settings for the Location you wish to configure schedule settings.
-
Select Scheduling from the menu on the left-hand side, and find the setting labeled Show Overtime Warnings on Schedule and turn it on. Click Save.
Now, any shift that includes overtime will have a red warning status. This icon indicates that the Team member assigned to this shift is not recommended for the shift, in this case, due to overtime.
Also, as you schedule or adjust a shift, Deputy will show the "Team member not recommended" alert. You can then review the cost breakdown for this overtime and either find a replacement or, if you are satisfied with the shift despite the cost, select Schedule anyway.
What information does an overtime tag show?
How do I check which pay rate rule triggered overtime?
When you click on a shift with an overtime tag or warning status, you can review exactly why the overtime is occurring.
Click the overtime tag inside the shift window to see a breakdown of the totals. This tooltip identifies which specific pay rate rule is driving the overtime. This helps you diagnose whether the cost is correct or if the team member's pay rate needs an update.
How does period overtime work?
Period overtime applies when a team member exceeds a total hour limit for an entire week or pay period (for example, working more than 40 hours in a week).
Deputy calculates the total hours for the period and applies the "Period Overtime" signifier to the last shift worked in that timeframe. If you see a period overtime warning, it means the cumulative hours from previous shifts have pushed this shift into overtime. Period overtime will apply only to hours completed outside the initial period.
