An overview of the states of shifts on your Schedule page.
Empty shift
An empty shift is a shift that does not have anyone assigned to it but is just the scaffolding of a shift placeholder used for planning without assigning a person to it. An empty shift can not be published.
Open shift
An open shift is a shift that can be published and made available to your recommended team members to claim it with or without manager approval.
The open shift will appear white when unpublished
The open shift will appear green when published and
- Open Shifts (not requiring approval) will display OPEN
- Open shifts requiring approval (but without any requests yet) will have an icon next to OPEN
- Open Shifts with requests already against them will say how many people have submitted requests for that shift
Filled shift
A filled shift has a Team member assigned to the shift. It is coloured grey when it is unpublished.
Published shift
A green published shift is a shift that has been made available to the Team member it is assigned to. This means they will be able to view it when they log into Deputy. Only a filled or open shift can be published. Empty shifts can not be published.
Pending confirmation
A green published shift with a CONFIRMING label means the manager that published the shift has asked the Team member to confirm they can work the shift and that Team member has not responded yet.
Warning shift
A white (unpublished) or green (published) shift with a warning means that the Team member assigned to this shift is not recommended for the shift and the manager has overridden a warning as such when creating the shift. The see the reason why the warning is displayed click on the shift to open it.
The warning will not prevent the shift from being published or the Team member working the shift.
Locked shift
A locked shift on the schedule is a shift that has already occurred in the past and now has a timesheet associated with it. Managers are unable to edit locked timesheets.
Managers may also set optional settings to further restrict the editing of past shifts that will result in a Locked shift.
Selected shift or Team member
When you click on any shift in the schedule, the shift you have selected is coloured dark purple. Other shifts also assigned to that Team member will then be coloured lavender. This enables you to easily identify all shifts assigned to the selected Team member on the schedule currently displayed.
