This article covers our Visa Entitlement Verification Online (VEVO) integration, which allows managers to conduct right-to-work (visa status) checks when onboarding new hires, and for existing employees.

Enabling VEVO in your Deputy account
Connecting to VEVO
To run VEVO checks in Deputy, you'll first need to enable our VEVO integration:
1. Go to to Business Settings.
2. Click the People tab on the left-hand side, then scroll down to select Right to work.
Note: The Right to work setting will only be visible for AU customers with an active Deputy HR subscription.
3. From here, you can click Connect to enable VEVO. Before proceeding with the connection, review all information carefully.
Once connected, new hires are required to provide their right-to-work details during onboarding.
Note: Team members who have completed their onboarding or whose onboarding is in-progress will not be prompted for right-to-work details.
Disconnecting from VEVO
You can disconnect from our VEVO integration in the same location used to connect to VEVO.
1. Go to Business settings and click the People tab, then select Right to work.
2. Click Disconnect. Make sure to read through the information presented before disconnecting.
Note: Once you've disconnected, right-to-work questions will not be asked for any new hires. However, for existing or pending onboards, the fields will remain there.
Running a VEVO check during onboarding
You can initiative a VEVO check once your new hire has submitted their onboarding form.
1. When viewing the new hire's onboarding form, select the Right to work tab to view the submitted details, then click Run VEVO check.
Note: The right-to-work details are masked by default. Learn more about sensitive data permissions.
When a VEVO check is initiated, the following details will be passed onto VEVO to check the new hire's right-to-work status:
- Legal name
- Date of birth
- Passport number
- Country of passport
Once the VEVO check is complete, you can continue to finalise the onboarding.
Running a VEVO check for an existing employee
VEVO checks can also be initiated for existing team members through their employee profile in Deputy. Before you start, make sure to enable the VEVO integration and ensure the employee's profile includes their date of birth.
1. On the web app, go to the People tab and select the relevant team member.
2. Click Right to work on the team member's profile menu.
3. Click the Request details button.
4. Review the request details that will be sent to the team member, then click Send request.
Note: If the team member's date of birth is missing from their employee profile, you'll receive a prompt to update it first.
You'll see the message below after the request has been sent. If you need to check the status of their VEVO check, cancel the request or send a further reminder, you can return to this section of their employee profile.
Viewing a team member's right-to-work details after a VEVO check
When a VEVO check has been completed for a team member, you can view their right-to-work status and documentation directly from their employee profile.
1. On the web app, go to the People tab and select the relevant team member.
2. Click Right to work on the team member's profile menu.
3. From here, System Administrators can view complete right-to-work details, including:
Residency status
VEVO check status
Visa details (Visa Class, Subclass, Expiry date, Work entitlement, Conditions, Description)
Documentation (If right-to-work documents were uploaded, you can view or download them from this section)
Note: Location Managers have a restricted view of team member right-to-work details. They can view the team member’s Residency status, VEVO status, and Expiry date; however, the Visa Class, Subclass, and Documentation fields are masked.
FAQs
What's required to verify a new hire's right-to-work status?
In the onboarding form, team members will need to provide the following information:
- Residency status
- A copy of the team member’s passport or birth certificate and photo ID
If a VEVO check is required (ie. if they are not an Australian or New Zealand citizen) the following details will be passed to VEVO when running a check:
- Legal name
- Date of birth
- Passport number
- Country of passport
What if the VEVO check results return as 'Not valid' or 'Not found'?
If the issue is due to incorrect information being entered for the visa holder's details, you can click Request details to re-run a VEVO check with the correct information.
