This article explains what's changed between Timesheets (Legacy) and the new Timesheets experience, where to find familiar features, and how to get started.

Why use the new Timesheets experience?
This is Deputy's new experience for reviewing and managing timesheets. It gives managers a more flexible way to find, review, and approve timesheets, with important information available when you need it.
The new Timesheets experience helps you:
- Control which timesheets you see and how they're displayed.
- See important timesheet information at a glance.
- Identify timesheets that need attention using statuses and warnings.
- Configure which start time, end time, and break variances are flagged for your locations.
- Manage timesheets in bulk across team members, locations, and dates.
- Review shift question responses, clock-in records, pay amounts, and other information from the detailed timesheet view.
What stays the same?
Moving from Timesheets (Legacy) to the new Timesheets experience changes how you review and manage timesheets on the Deputy website, but it doesn't change the way timesheets are created or exported.
- Managers and team members can continue creating timesheets in the same ways.
- You can continue to approve timesheets on the Deputy mobile apps in the same way as before.
- The Export timesheets tab on the Deputy website remains unchanged.
- Your existing Timesheets permissions continue to determine which timesheets you can access.
Most of the features you used in Timesheets (Legacy) are also available in Timesheets. Some have moved, have a different name, or work differently.
How to switch to the new Timesheets experience?
If you're still using Timesheets (Legacy) and the option to switch is available for your account, you can start using the new Timesheets experience from the timesheet approval page.
- Open the Timesheets tab and click Switch to faster experience.
If your account has already moved to thew new Timesheets experience, you don't need to complete these steps. Use the sections below to learn where familiar Timesheets (Legacy) features are now located.
What's changed and where do I find familiar features?
If you can't immediately find something you used in Timesheets (Legacy), it doesn't necessarily mean it's been removed. Some controls have moved, have a new name, or are now part of a different workflow.
Find and review timesheets

Timesheets uses location and date filters to determine which timesheets are displayed. You can group the results by team member, date, or area, or search for a specific team member.
Timesheets can display timesheets from the current calendar year and the two previous calendar years.

Understand timesheet statuses and warnings

Timesheets separates a timesheet's approval status from warnings that need your attention. This means a timesheet can keep its current status and separately display a warning when something needs to be reviewed.
Statuses tell you where the timesheet is. Warnings tell you whether it needs attention.
You may see the following statuses:
- Upcoming: The scheduled shift has a future start time.
- In progress: The team member is currently working the shift. The timesheet has a start time but no end time.
- Absent: The scheduled shift has ended and the team member didn't clock in or out.
- Late: The scheduled shift has started, the team member hasn't clocked in, and the scheduled end time hasn't passed.
- Pending: The timesheet has been submitted and is waiting for review.
- Time approved: The time on the timesheet has been approved.
- Approved: The time and pay on the timesheet have both been approved.
- Auto-approved: The timesheet has been automatically approved based on your settings.
- Discarded: The timesheet has been discarded.

Switch between decimal hours and hours:minutes

Timesheets (Legacy) displayed total hours as decimals. In Timesheets, you can choose whether totals are displayed as decimal hours or hours and minutes.
Open View options to change how timesheet totals are displayed.

View the clock-in or clock-out map and GPS location

Timesheets (Legacy) displayed the clock-in and clock-out map alongside the timesheet. In Timesheets, the map is available from the detailed timesheet view.
Open the timesheet and click Show map to review the clock-in or clock-out location.

Approve or update multiple timesheets

Timesheets supports bulk actions so you can select an entire group, or individual time sheets and the Timeseheets bulk action bar will approve.
and approve multiple timesheets across team members, locations, and dates.

Round timesheets

In Timesheets, timesheet rounding is managed through location settings rather than from the main timesheet list.
Rounding controls are then available when reviewing timesheets in the detailed view.

Revert to scheduled shift details

Import Scheduled Details in Timesheets (Legacy) is called Revert to schedule in Timesheets. It will convert the selected timesheets clocked hours to the scheduled hours.
You can find Revert to schedule in the detailed timesheet view.

Find total shifts, hours and subtotals

Timesheet totals are still available in Timesheets, but they're displayed differently from Timesheets (Legacy).
You can review running totals for individual team members and totals across the timesheets you're currently viewing in the left hand sidebar.

Find journal notes for a team member

Timesheets (Legacy) displayed journal information as part of the timesheet experience. Journal notes aren't displayed directly on the timesheet in Timesheets.
Select the team member's avatar either in the sidebar or from their timesheet to open their profile and review their journal entries.

View pay rates and rules

Pay rates and rules are displayed for pending and approved timesheets in Timesheets, so you can review the applied pay rate without opening each pay item individually.

Add or convert a timesheet to leave

In Timesheets (Legacy), you could change the area of a timesheet to a leave type, such as Annual, Sick, or Personal leave, while reviewing the timesheet.
In Timesheets, leave uses a separate workflow.
You can:

add leave using Add > Add leave,

or use Convert to leave for a pending, absent, late, or upcoming timesheet.

Check custom pay configurations and integrations

If your business is on an Enterprise plan, you may have custom fields, scripts, integrations, payroll exports, or other configurations that affect how timesheet or pay data is handled in Deputy.
Before moving to the new Timesheets experience, test any critical timesheet-to-payroll workflows and downstream processes to confirm they continue to work as expected.
