What is the update?
On 4th November 2024, the Deputy Kiosk for iPad app version 24.44.0 will roll out from the App Store and there will be some changes to permission settings relating to editing timesheets for some customers.
What was the previous behaviour?
Previously, where the Location setting for 'Modify timesheets during shift' was set to ON in the location where the Deputy Kiosk for iPad operated, team members could modify their timesheets during the shift using the Deputy Kiosk for iPad, even when their access permission level had been customised to not allow this action. This was an unintentional behaviour in our Kiosk for iPad app and has since been corrected.
Which situations may have allowed this behaviour?
Only customers whose situation fulfilled the following criteria were affected:
- The Location setting for 'Modify timesheets during shift' was set to ON in the location where the Deputy Kiosk for iPad operated AND
- The access permission setting for the user's role had been customised (from the default) at the permission level to disable the ability for these users to add or edit timesheets AND
- The team member used a Deputy Kiosk for iPad to modify their timesheet during a shift.
Only team members and organisations fulfilling all of the above criteria would have found they could modify their timesheets during a shift.
What will change?
On 4th November 2024, a new version of the Deputy Kiosk for iPad app v 24.44.0 will be released to ensure that the settings that have been configured at the user role permission access level will be respected.
This means that if any user has a customised access role that disables the ability to add or edit timesheets, then they will no longer be able to modify their timesheet during a shift on the Deputy Kiosk for iPad.
How do I retain the previous behaviour?
If you would prefer users with customised access roles to be able to continue to modify timesheets during a shift on the Deputy Kiosk for iPad, then please ensure you have the following settings in place:
- The Location setting for 'Modify timesheets during the shift' is set to ON in the location where the Deputy Kiosk for iPad is operated AND
- The access role setting is set at the permission level to enable the ability for these users to add or edit timesheets.
Note: if you are using Deputy default configuration for access permissions and they have not ever been customised, then this is the default setting configuration and you do not need to make any changes.
Does this update affect the Deputy mobile app or the Deputy website?
No, this issue is specific to the Deputy Kiosk for iPad app only and does not affect the Deputy mobile app or website.
Will this update affect all users in my organisation?
It will only affect team members whose access role permissions have been customised to not allow timesheet modification and who are using the Deputy Kiosk for iPad app.
Will my team members need to be trained on this change?
You may need to inform team members who frequently modify timesheets on the Deputy Kiosk for iPad app about this change if their permission has previously been customised to not allow it.
How can I check my current permission settings?
You can check the Location settings via the Locations tab on the Deputy website.
If you would like to verify your current team member access permission settings:
- On an Enterprise plan you can check the permission settings through the Enterprise Settings under Business Settings > Access Levels and Permissions
- If you are not on an Enterprise plan, please reach out to Support to verify your current team member permission settings.
