When managers review shifts from prior dates in the Schedule they will be locked automatically if they have timesheets associated with the shift, or if optional location settings have been enabled.
Managers can view the associated timesheet from the shift by clicking on View timesheet.
This action will display the corresponding timesheet associated with this scheduled shift.
Occasionally, however, the manager will find that no timesheet is displayed upon clicking View timesheet.
The most common reason for this is that the team member forgot to clock on for their shift at the start of their shift and then when they went to clock off, they realised no shift had been started earlier, so started and finished their shift all at once. This action would mean that the shift length recorded is likely less than the minimum shift length configured for your account and as a result, the timesheet would be deleted. The employee would receive a warning but may dismiss it.
To avoid this situation, managers may like to consider the following options:
- advise team members who forgot to start their shift on time that they should edit their shift start time (if the permission to amend timesheets has been enabled) to better reflect the actual time they started work so that their correct timesheet will be submitted.
- amend the minimum shift length to 1 min in Location settings so that if the forgotten clock on situation occurs then team members will only have to wait 1 min to clock off and submit a valid timesheet which can then be corrected to the accurate clock on and off times by the manager who approves the timesheets.
