When you have set up an integration with either ADP Workforce Now or ADP Run in Deputy, one of the main features that the integration offers is to keep employee data in sync between the two systems.
However, there are certain rules that the Deputy system follows when integrating this data to ensure that the accidental cross-pollination of employee data is prevented.
Below are details of how Deputy handles the sync of employee data across both systems, especially during the initial setup.
How Deputy links employee data
The primary way that Deputy will match up an employee to the ADP employee database is the email address. This is because the primary identifier in Deputy.
Best practice
Deputy recommends that when possible, employees are added to ADP Workforce Now/Run first and then automatically synchronised over to Deputy. This is to ensure that the data link between the systems is established and that the employee can be successfully added to Deputy.

However, we recognise that many of you setting up this integration will have already established the employees in both systems before setting up the integration. For those of you in that scenario please keep reading below.
Advanced matching
We have updated the ADP Workforce Now/Run integration setup process to have a new advanced data matching option. The section is called What should we do if we find an ADP Worker that already exists in Deputy?
If you leave the default option selected, Leave ADP worker to Deputy team member where matching data exists between the two systems, for pre-existing Deputy employees, the link will be established between the two systems and synchronisation will commence meaning any changes made in ADP will be reflected in Deputy automatically.
If you select the option Don't import or sync the ADP worker then Deputy will use the original matching process. Any employee who already exists in Deputy will not be able to be linked to an employee in ADP Workforce Now/Run and only new employees will be synchronised over from ADP Workforce Now/Run to Deputy.
How can I tell if my employees are connected to ADP successfully?
Once an employee is successfully linked to ADP Workforce Now/Run then ADP will appear next to their name on the People tab in Deputy.
If this does not appear, you may not have the Connected To column selected to display in the People tab.
If this is the case you can easily add the column using the Display drop-down selection on the People tab.
If the employee still does not show a listing in the Connected To column, it means the employee is not connected to ADP Workforce Now/Run.
