Before you read
- Target audience: This article is for users with System Administrator access.
- Plan restrictions: This article covers topics that require Deputy Payroll, enabled by Paycor (US).
This article covers:
- How do I connect my Paycor account?
- How do I set up timesheet destinations and departments?
- How do I map earnings and time off?
- How do I match team members between systems?
- How do I finish the setup?
How do I connect my Paycor account?
The first step is to link your Deputy account to your Paycor system. Because this is a unified partnership, you'll use your existing credentials to authenticate the connection.
- Log in to Deputy and click on the Payroll tab in the main menu.
- On the landing page, click Log in to Paycor to begin.
- Input your Paycor username and password, then click Continue.
- Follow the prompts to activate the app.
- Select the relevant Paycor clients you want to integrate with Deputy.
- Review and agree to the terms of use, then click Integrate.
How do I set up timesheet destinations and departments?
Once connected, you must decide how Deputy sends hours to Paycor. This is so that your labor costs are attributed to the correct parts of your business.
Choose a Timesheet destination:
- Employee's home department: Sends all hours to the department where the team member is permanently assigned.
- Departments they worked in: Split hours across different Paycor departments based on where the team member worked their shifts.
If you choose to split hours, match your Deputy locations or areas to your Paycor departments using the dropdown menus.
How do I map earnings and time off?
You need to tell Deputy which Paycor Earning Type matches your Deputy Export Code so that all earning types (regular hours, overtime, leave, etc.) are exported to the correct payroll categories.
- Select the Deputy earnings export code on the left.
- Use the dropdown on the right to select the matching Paycor earnings type (for example, matching OVERTIME to Daily Overtime 1.5).
- Any pay rule you match to 'Do not connect' will not send information to Paycor. This can be used for any old pay rules or those without an associated cost.
- Click the Time off tab and repeat this process for your leave policies, such as sick leave or vacation.
How do I match team members between systems?
To export timesheets successfully, each Deputy team member must be linked to their corresponding Paycor team member profile.
Deputy automatically matches team members who have the same email address or name.
Note: An employee must exist in both systems prior to attempting a match.
To match all team members:
- Review the list under the Matched tab to confirm the matches are correct.
- Click the Not matched tab to find team members who did not sync automatically and match them by manually searching for a Deputy team member by name and selecting to link them to their Paycor profile.
How do I finish the setup?
Before finalizing, you will see a summary of your configuration.
- Review the total number of matched earnings, the time-off types, and the team members.
- Click Edit next to any section if changes are needed.
- Click Complete setup to finish.
