If your organisation gives your team members the choice of whether to take their overtime hours as cash payment or as Time Off in Lieu (TOIL), you can set this up using custom shift questions.
This guide takes you through how to set up your custom shift question to automate the process of adding either overtime pay or TOIL hours to a team member's timesheet, based on the answer they provide at clock out.
Before you read
- You must have System Administrator, Payroll Administrator or Advisor access in Deputy.
- This feature is currently only available as part of the Deputy Payroll (AU) product.

Navigating to Shift Questions
1. Click on Business Settings in the drop-down menu under your name on the Deputy website.
2. Select the Time & attendance tab, and under the Clocking in & out section and click on Shift questions.

Configuring your shift question for TOIL
- Custom field type: In the drop-down, select Timesheet
- Active/Inactive: Switch toggle to ON
- Field Name: This is the question that your team members will see. We recommend using clear, plain language like, "Do you want to take your overtime hours as TOIL?"
- Field details (optional): Here you can add extra information for your team members to help them answer.
- Type of field: Select Boolean/Checkbox
- Validation: Check the Required field box to make this question mandatory for all clock-outs
- Default value: (leave blank)
- Display timing: Select Clock out & update
- Display rules: -N/A-
- Field conditional rules: -N/A-
- Areas: Select the Locations and/or Areas where you want this question to display when team members clock out
- Sort order: (leave blank)
- API name: This will default to some version of the Field Name. You can change the API name if you intend to export this information via an integration.
- Scroll all the way up and click Save This Custom Field
You can now select this clock-out question from the drop-down when you configure your TOIL accrual settings in Pay Rate Builder.
