When processing leave in Deputy Payroll there are broadly two types of leave:
- Leave that is tracked, approved and paid using leave requests and leave timesheets eg. Annual Leave and Personal Carers Leave. This article will discuss how to set up leave rules for these types of leave entitlements.
- There is also leave that is less visible to employees but might be managed at a payroll only level and not via timesheets, such as Paid Parental Leave. This type of leave would be handled during the pay run using extra payments and will be captured in the STP submission.

Set up Leave rules
Deputy is already set up with 10 leave policies (or leave rules) by default:
- Annual Leave (Vacation)
- Bereavement (Compassionate)
- Community Service Leave
- Long Service Leave
- Other Paid Leave
- Sick (Personal/Carer's) Leave
- Time Off In Lieu
- Unpaid Leave - Leave
- Unpaid Leave - No Show
- Unpaid Leave - Sick
You may add to or edit these leave rules to suit your business.
To do this, simply click the drop-down in the top right-hand corner and click Business settings.
Then select the Leave tab and click Leave Rules.
From here, you will see a list of your current leave types. Click New Leave Condition to add a new leave entitlement:
From here, you can edit the details of the leave entitlement, including:
- The name of leave
- Whether the leave entitlement is paid or not
- The type of leave
- Whether the leave entitlement should be visible to team members (i.e. when they apply for leave or see balances on the Deputy smartphone apps)
- The ability to reset leave is disabled with Deputy Payroll
- If you want this leave to appear in Deputy Payroll you will need to select Export using Export code and add an export code
- Whether you would like the leave rule to track in 'Hours' or 'Days'. Note: You will need to make sure you choose carefully, as team members' leave balances will not be automatically converted or carried over if you switch between these options.
When you are done, click Save this Leave Condition. We advise you to refresh your browser after doing this to see the additions/changes across Deputy.
Once you have set up your leave rules, you will need to:
