In this article, we use Deputy's Pay Rate Builder to step through creating a pay rate that will apply on a per shift basis.
There could be many variations of rate per shift payments in your workplace so we will go through an example and then you can tailor the pay rules to your requirements.
Example scenario of pay rate per shift
I want to pay my instructor $100 per class regardless of how long the class is
1. Begin by creating a new pay rate or editing an existing one. Set the name and pay rate details.
2. Select Base pay from the menu on the left and click Edit to edit the ordinary rate.
3. Change the name of the ordinary rate to something such as 'Time worked (not exported)' just so you later know that no time worked on this pay rate will be exported to payroll.
Leave the rate as $0 and change the Export code option to 'No' so that this ordinary pay rate does not export to payroll.
Click Save.
4. Click on Pay Rules and then Add.
Select Shift Allowance from the drop-down menu and click Add pay rule. The Shift allowance pay rule calculation type allows you to pay a single unit per shift.
5. Configure the following:
- Change the name of the pay rule to something specific such as 'Rate per Shift'.
- Configure the pay rate by selecting Flat rate. In this example, we will set the amount to be $100 every Unit but you can add the amount you wish to pay.
- Configure the export code for your payroll software. In this example, we have used 'ratepershift'.
Click Save when you are done.
You have now configured your pay rate and are ready to assign it to your team member(s).
6. On the People tab, click on the team member's name to open the employee profile and click on Employment. Click on Set a pay rate.
7. You can set the Employment type as required - in the example we have selected 'Casual'.
Then click on the drop-down menu for Pay rates and type the name of the new pay rate you have created in step 1. Select your pay rate. In our example, you can see that our example 'Gym class instructor casual' has appeared under the Custom rates sections in our pay rate library.
8. Confirm the Rate per shift pay rate (you can change the value here just for this particular team member if required) then click on Save.
9. When this team member works a shift, we can see on the Approve Timesheets tab that their timesheet for approval displays that they worked an hour of Spin class and has 1 unit of rate per shift added.
10. Furthermore, when we review the Export Timesheets tab, we can see that the hour worked is $0.00 and not exported but the pay rule rate per shift has assigned 1 unit of $100 and will export this to payroll.
