MyPAYE is a cloud-based payroll service that integrates with Deputy. Deputy allows you to export all worked hours of employees directly into MyPAYE for quick and easy payroll.
Before you export
Access permissions
Ensure you have:
- System Administrator and Location Manager access in Deputy
- Access to run payroll in MyPAYE
Connection ID and password
To export timesheets from Deputy to MyPAYE you will need to gather your:
- XML Web Account ID
- XML Web Access Password
1. In MyPAYE go to Employer > Integration
2. Tick to select Enable XML Web Service Access to MyPAYE and take note of
- XML Web Account ID
- XML Web Access Password
as you will need it later when exporting.
Set up employees
Firstly set up your employee's pay rates in Deputy.
Next, to ensure the timesheet in Deputy matches up with the correct employee in MyPAYE you must ensure the Payroll Ref in MyPAYE matches the Payroll ID in Deputy.
In MyPAYE, you can set your own Employee Ref when you set up the new employee or have MyPAYE set one for you as shown below:
Once you know your MyPAYE Employee Payroll Ref please ensure the Payroll ID in Deputy is set as identical to what is in MyPAYE for each employee.
Export timesheets into MyPAYE
1. On the Timesheets tab select Export Timesheets.
2. Use the Location and date selector to select the workplace and date range you would like to export approved timesheets for.
3. Select the employees' timesheets you would like to export.
4. Click Export Selected Items.
5. Select MyPAYE Wages Export (UK) from the drop-down menu
6. Enter the XML Web Access ID and XML Web Access Password that you recorded in this step.
7. Click Export.
Your export should complete successfully.
A total number of worked hours recorded in Deputy timesheets will be transferred into the Wages quantity column for each employee in MyPAYE.
Troubleshooting

Employee not found: make sure the Payroll ref in MyPAYE and Payroll ID in Deputy are matching.

No earnings rate: Deputy will only export wages. In order to do so, the integration will look for an earnings rate called "Wages" in the employee. If it is not found, no hours will be exported.
