This article explains how to create, manage, and assign job titles to team members, so you can easily find employees by role.

- Target audience: This article is for System Administrators, Location Managers, Advisors, and users with permission to manage team member employment details.
- Plan restrictions: Job titles are included in Core and Pro plans. Customers on the Lite plan can access job titles if they have a Deputy HR add-on.
- Feature rollout: This feature is being rolled out gradually to eligible accounts.

How do job titles work in Deputy?
Use the Job title field in a team member’s profile to identify the role they perform in your organization, such as Barista, Store Manager, or Registered Nurse. Each team member can be assigned one job title.
System Administrators manage the available job title options in Business Settings, helping maintain consistent workforce data across your organization.
When job titles are assigned accurately, you can:
- Display team member roles on the main People tab
- Filter team members by role on the People tab
- Complete bulk actions by role on the the People tab
Note: Job titles are informational only. They do not affect pay, employment agreements, access levels, work locations, training, or scheduled shifts.
Create and manage job titles for your organization
System Administrators can manage organization-wide job title options in Business Settings.
You'll need to create the job titles library in Business Settings before managers can start assigning them to team members.
1. Click your profile photo in the top-right corner, then select Business Settings.
2. Select People on the left-hand menu, then click Job titles.
3. Select Add job title.
4. Enter each job title individually in the Title field, then select Add job title.
Optional: You can select Add another to enter multiple job titles before saving.
Note: Job titles must be unique and can contain up to 100 characters.
Edit or archive a job title
To edit or archive a job title for your organization:
1. Open Business Settings → People → Job titles to find the job title you want to change.
2. Click the three dots icon (...) to open the task menu. Select Edit to change the title, or Archive to remove it as a selection option.
Note on archiving: If you archive a job title that is currently assigned to team members, Deputy will automatically remove the job title from those team members. Their Job title field will remain blank until you assign another job title. If you restore the archived job title later, it won't be automatically reassigned to those team members.
3. Follow the prompts to confirm the changes.
Assign a job title to one team member
You can assign a job title to individual team members, or assign job titles to multiple team members at once.
To assign job titles to an individual profile:
1. Go to the People page and select the team member you want to update.
2. Click the Employment tab, then select Edit.
3. Click Job title to select a title from the list. You can assign one job title per team member.
Can't see a list of job titles? Speak to your System Administrator about create job titles for your organization.
4. Select Save to apply the job title to the team member.
The job title appears under the team member’s profile photo. If a job title is not assigned, their access level appears instead.
Assign job titles to multiple team members
Use bulk actions to assign the same job title to several team members.
1. Go to the People tab and select the team members you want to update using the check box.
3. Click Bulk actions, then select Edit job title.
4. Choose the job title you want to assign by clicking the Job title field. This screen will show the number of team members that the job title will be applied to.
4. Click Assign to complete the bulk changes.
Remove a job title
You can remove a job title assigned to a team member by going to their employee profile.
On their Employment tab, locate the Job title field and click Unassign, then save your changes.
Note: If you want to remove or edit job titles for multiple team members at once, you can do this via Bulk actions. See this section above.
Find team members by job title
On the People tab, you can view and filter team members by job title.
You can:
- Set your Display options to show the Job title column.
- Filter team members by Job title
- Find team members who don't have a job title by selecting None in the Job title filter.
