Can I hide pay rates for just one specific person?
No. Permissions are assigned based on roles, not individual team members.
Why can I still see pay rates after setting up the sensitive data permissions?
If you can still see pay rates, it’s likely due to your access level permissions. System Administrators, Payroll Administrators and Payroll Managers have access by default.
If you're using a custom access level, check that the Can View Sensitive Employee Pay Information permission is enabled for that role.
A team member’s pay rate shows as $0.00 - is that correct or hidden information?
Yes. If you have the View costs permission enabled for your role, a value of $0.00 is a real rate. If you don’t have permission, the pay rate won’t appear at all.
Why don’t my reports hide pay data?
Classic reports & Analytics aren’t included in the current feature release. Currently, users without the View costs permission won’t be able to access any reports with pay-related information. Find out more about about which reports are affected in the important considerations section.
Field-level controls in reporting are planned and coming in a future release!
Does this stop pay rates from appearing in Xero or CSV exports (webhooks)?
Yes. These restrictions apply at the API layer (server-side). If a user does not have permission to View costs, exported data will receive "$0" values for pay fields. Timesheets export is blocked entirely at the backend.
Can Location Managers still see labor costs for their team?
Yes, depending on their permissions. They can view costs if:
- Can View Sensitive Employee Pay Information is enabled, or
- Can View Roster Cost remains enabled
The permission Can View Peers and Above Cost controls whether they can see costs for peers or higher roles.
Does this change anything on mobile?
No. There are no changes to mobile in this release. The only place pay-related data appears on mobile is in the Stats panel, and that remains unchanged.
What does a half-filled checkbox mean when I'm configuring the permissions?
An half-filled / indeterminate checkbox means that some, but not all, permissions in that group are enabled.
- Click once → enables all permissions in the group
- Click again → disables all
If you need more precise control, switch to the per-permission view instead of using Business Settings view.
What if I need more granular control over permissions (beyond pay rate data)?
You might like to explore our pricing plans with custom access levels. This allows you to create role permissions from scratch, or modify individual permissions for existing access levels.
