This article explains how to control whether team members can edit their own first and last names in Deputy.

Why you might control team member name changes
You may want to control who can edit team member names when your business relies on consistent naming across systems.
This is useful if you sync Deputy with payroll or HR systems such as Xero, MYOB, or ADP. Changes to a team member's name, such as using a nickname or alias, can break syncs or cause payroll issues.
The Allow editing first and last names setting lets you decide whether team members can update their own names, or whether only managers (System Administrators, Location Managers, or Advisors) can make those changes in your business.
How names work in Deputy
Each team member has two name profiles:
- Global profile: Their name in their Deputy account. Team members can update this themselves.
- Business profile: Their name within your business. This name appears in reports, timesheets, and payroll exports.
By default, updates to the global profile are synced to the business profile. This setting controls whether those updates continue to sync.
Allow or prevent team member name editing
To enable or disable this setting:
- Click your name in the top-right corner of Deputy and select Business Settings.

Click the People tab and under Profile, toggle the Allow editing first and last names setting ON or OFF, then click Save.
When the setting is ON (default):
- Team members can update their first and last names in their global Deputy profile.
- Changes made in the global profile automatically sync to your business.
- Only managers (System Administrators, Location Managers, or Advisors) can still edit names from the People tab.
When the setting is OFF:
- Team members can still update their name in their global profile.
- Changes made in the global profile do not sync to your business.
- Only managers (System Administrators, Location Managers, or Advisors) can edit names in your business.
Turning this setting OFF stops new name changes from flowing into your business. It does not revert any names that were already updated before the setting was changed.
Note: There is a separate setting called Display preferred names that controls whether preferred name updates sync from the global profile to your business. For stricter control, you can turn both settings OFF, so only managers (System Administrators, Location Managers, or Advisors) can update any name fields in your business.
