Welcome to the Deputy Analytics Data Dictionary. This resource is designed for System Administrators and Deputy users who build custom reports in Analytics+.
Here, you’ll find a complete list of the datasets included in Deputy Analytics, along with the data points contained within each one. A glossary of key terms is also included to help you better understand the data points.

How to use this Data Dictionary
Data points are building blocks of all Deputy Analytics reports and Analytics+ custom reports, providing the raw information needed to add elements such as tables, graphs and visualizations.
To build a custom report effectively, you'll want to:
1. Define the purpose of your report
Start by clarifying what you want the report to achieve. This makes it easier to identify the data you need. Ask yourself:
- What question am I trying to answer?
- What decisions will this report help me make?
2. Identify the data points you need
Once you know the purpose of your report, list the specific data points (table columns) you want in your report. Examples might include:
Employee name
Employee primary location name
Total hours worked
Employee pay rate ID
3. Use this Data Dictionary to locate your data points
Search the Data Analytics Datasets below to locate the exact data points you need.
Every data point is grouped into a dataset. For example, most employee data - such as personal and contact details - will live in the Employees dataset.
To search for specific key words, use your browser’s search function by pressing Ctrl + F (PC) or Cmd + F (Mac).
Once you’ve located the data points, you're ready to add data elements to your custom report.
Glossary of Terms
This glossary defines key terms found throughout Deputy Analytics data points.

Author |
The user who initiated an event or communication in Deputy. For example, in the HR Kudos dataset, a Kudos Author is the team member who created and sent Kudos recognition in Deputy Messaging. |
Created |
A new record or event generated in Deputy. For example, in the Shifts dataset, Shift created date refers to when the shift was first published in Deputy. |
Created by |
The user who generated a new record or event in Deputy. |
Custom fields |
Additional information your business has chosen to add to certain records, such as Employee profiles, Shifts or Timesheets, on top of Deputy's standard fields. |
ID |
A unique numerical identifier assigned to a specific record in Deputy, such as a timesheet, employee or document. |
Modified |
A change or edit made to an existing Deputy record, after its original creation. |
Modifier / Modified by |
The user who made a change or edit to an existing Deputy record, after its original creation. |
Primary location |
The main Deputy location assigned to a team member's profile in the People tab. |
Recipient |
The user who received a specific piece of information, document, message, or notification. For example, in the HR Kudos dataset, Kudos Recipient is the team member who receives Kudos recognition from another user. |
Sharer |
The user who sent a specific document to another user via Deputy. For example, in the HR company document acknowledgements dataset, the Sharer is typically the System Administrator or hiring manager who sent the company documents to a new hire. |
Status |
A label indicating the current state or stage a record within a Deputy workflow. For example, in the Employee Audit dataset, the Employee status field would display as either Active or Archived. |
Type |
A category or classification that further identifies a specific type of record. Examples of this in the data points include Document type, Timesheet policy type and Area work type. |
Uploader |
The user who uploaded a specific document or file into Deputy. For example, in the HR company document dataset, Uploader could refer to a person who added an Employee Handbook. |
UUID |
Acronym for Universally Unique Identifier. A unique code made of both letters and numbers used to identify a specific record across the Deputy system. In custom reporting, using the UUID is the most precise way to track and trace individual records. |
