Timesheet attestation

Timesheet attestation allows team members to review and acknowledge timesheets submitted on their behalf. It also allows teams to keep an auditable record of any conversations between team members and managers about discrepancies found in a timesheet.

Note: Timesheet attestation is only available with the new timesheet experience and isn't supported on the legacy version.
 

Enabling timesheet attestation

To enable timesheet attestation for your organization, go to Business settings.

 Select the Time and attendance tab, then scroll to the Timesheets section.

Find the Enable employee attestation on timesheet changes toggle and switch it to ON. This instantly enables attestation across your organization. You can also customize timesheet settings per location.

Team member experience

Reviewing, confirming and disputing timesheets

When a timesheet is submitted on a team member's behalf, or when a manager updates the hours on an existing timesheet, the team member will receive a notification in their mobile app. From there, the team member can go to My Timesheets (under the Shift section) and review any timesheets marked with Needs review.

By tapping the timesheet, team members can review the timesheet details and either Dispute or Confirm it.

If a team member taps Dispute, they'll be prompted to leave a comment explaining why they're disputing the timesheet. Once complete, they'll need to tap Done.

Note: Team members can only suggest changes and won't be able to make edits themselves if they don't have permission to edit their timesheets.

Any timesheet that has been disputed will appear as Disputed in My Timesheets until a manager resolves it. If the manager adjusts the timesheet to address the dispute, the team member can review the updated timesheet again.

Note: Team member timesheet reviews aren't required for payroll. When you export timesheets in Deputy, any timesheets marked as Needs review will still be exported.

Additionally, employees won't be allowed to dispute any timesheets that they've clocked out from themselves.

Manager experience

Reviewing disputed timesheets

In the new timesheets experience, managers can review any disputed timesheets. In the web app, go to the Timesheets tab, then select Approve timesheets. Disputed timesheets are flagged with the red warning icon as shown below.

To review the dispute details, managers can click into the timesheet. The Comments section will display the dispute reason provided by the team member.

Managers can un-approve the timesheet, make the necessary changes, and then re-approve it. Once re-approved, the timesheet will be sent back to the team member for review.

If the dispute was resolved offline, managers can select Mark as resolved. They'll be prompted to provide a short description to document how it was resolved for audit purposes. These timesheets will not go back to team member for review.

Applying a filter to view only disputed timesheets

To view only disputed timesheets, go to the Timesheets tab in the web app and select Approve timesheets, then click the filter icon and tick the Show disputed teamsheets only filter.

Managers will also receive a weekly email digest of timesheets with open disputes for each location they manage.

Note: Disputed timesheets marked as Approved won't be blocked from export, and will still be paid out once payroll is processed.

Can I turn off attestation feature for certain locations?

Yes, you can customize your Timesheet Settings for each location in the Locations tab.

Can I edit the attestation disclaimer displayed to employees on the mobile app?

Yes, you can edit the attestation disclaimer shown to team members on the mobile app from the Locations tab.

Can I restrict my employees from raising disputes against paid timesheets

Currently, team members can't be restricted from raising disputes against paid timesheets.
