How often do I create a new superannuation submission?
One of the first steps completed was to set a superannuation payment frequency. The options to pay your employees' superannuation payments were:
- by each pay run
- monthly
- quarterly
After the nominated period elapses you will be ready to create a new superannuation submission to pay your employees' superannuation payments.
Create a new super submission
From the Payroll tab, select Superannuation on the left-hand side.
If you have multiple entities (ABNs) in your organisation, please ensure that you select the correct ABN from the drop down.
Click New Super Submission.
A pop-up will appear with details pre-filled according to the current financial year and the frequency setting you configured, however you are able to make selections to change the following if required:
- Financial year
- Period - in this example, March dates are pre-filled because the super clearing house was configured to pay superannuation monthly
- Group - choose from
- All employees
- Pay calendar groups of employees
- All employees from a specific state of Australia
- Individual employees selected by name
Click Prepare Super Report.
If there are any issues, you will receive a warning such as:
In this instance, you can click on the link to Bank Details. It will open a page in another tab so you do not lose your place in your superannuation submission. Verify the Bank Details and return to complete the superannuation submission.
Review the Superannuation Contribution Report
You can Edit Date Range if you need to change the date or period selected.
You can Export CSV to download a copy of the information to your computer. The file can be opened in spreadsheet software such as Excel.
Once you are happy with the superannuation contribution report, click Submit Super.
Enter the amount of super to be paid to confirm you are happy with the calculation and report.
You will be asked to acknowledge that you have checked the superannuation contribution report and:
- Amounts are correct
- Employee fund details are correct
- The nominated bank account that funds will be deducted from is correct
If you have reviewed, click Reviewed.
The superannuation report will be sent to Beam clearing house and the required superannuation payments made to each employee's superannuation fund.
Actioning errors before super can be processed
If there are any missing or incorrect details during the payment validation, a red error box will appear with a list of all errors that must be fixed before the super can be processed.
Note: If an employee chooses your default fund when onboarding, Beam will send the request for a new member account to be created with the fund. The employee will receive confirmation of the new account and the member number directly from the fund.
You may want to follow up with the employee to obtain their member number and add this to the employee profile as the member number will be required for future contributions to be received by the fund.
Once any errors have been amended, click the Refresh button to confirm.
Making a super payment through the payment gateway
Once the super contribution report has been confirmed, the super payment can be processed by clicking Submit Super.
The Beam Clearing House Payment Gateway window will open. Confirm the details in the payment gateway, ensuring that:
- The nominated bank account from which the funds will be deducted is correct.
- The super to be paid amount matches the amount in the accounting suite.
Once you have confirmed the figures, enter the amount to be processed in the Enter amount to confirm box.
Click the Reviewed button after everything has been confirmed, and then click Pay Super to make the super payment.
The data has now been sent to Beam, who will debit your specified business bank account and send the contributions to the nominated superfunds.
Funds will be debited within 1-5 days by Beam (i.e. Precision Administration Services Pty Ltd).
