This article shows you how to create a new superannuation submission in Deputy Payroll and send the payment to your team members' nominated superfunds using the Beam clearing house.

How often should I create a new superannuation submission?
When you initially set up your Deputy Payroll account, you chose a frequency for paying your team members' superannuation contributions. You had options to pay:
- By each pay run
- Monthly
- Quarterly
After the nominated period has passed, you're ready to create a new superannuation submission to process your team members' superannuation payments.
How do I create a new super submission?
- In the Main menu, click Payroll.
- On the left-hand side, click Superannuation.
- If your organisation has multiple entities (ABNs), select the correct ABN from the drop-down menu.
- Click New Super Submission.
- The New Super Submission pop-up will appear.
Check the details in the pop-up window. The details are pre-filled according to the current financial year and the frequency setting you configured. You can change the following selections if needed:
- Financial year
- Period (The period dates are based on the frequency you set up for the clearing house)
- Group (You can choose to include All team members, a specific Pay calendar group of team members, All team members from a specific state of Australia, or Individual team members selected by name).

CRITICAL WARNING: User Responsibility for Data Verification The Super Submission tool is designed with flexibility to accommodate complex payroll structures. Consequently, the system does not automatically inhibit overlapping submissions. The administrator bears sole liability for data integrity. Before proceeding, you must manually verify that the employees in your selected Group have not already been included in a previous submission for this period. Duplicate payments resulting from incorrect grouping configurations are the responsibility of the entity submitting the report. Deputy is not liable for financial losses, processing fees, or delays in refund recovery caused by user error. Click Prepare Super Report. The Super Contributions Report will appear.
How do I review the Superannuation Contribution Report?
After the report is prepared, you can:
- Click Edit Date Range if you need to change the period selected.
- Click Export CSV to download a copy of the information to your computer. You can open the file in spreadsheet software, like Excel.

If there are any issues with the data, you may receive a warning. For example, you might see a link to Bank Details. If you see a warning, you can click the link. It will open a new tab so you don't lose your place in the superannuation submission. Verify the bank details, and then return to the original tab to continue with your superannuation submission.
- Once you're happy with the superannuation contribution report, click Submit Super.
A pop-up window will appear with the pre-filled amount of super to be paid based on the contribution report. You confirm you're happy with the calculation and report by entering the amount of super to be paid.
- You'll be asked to acknowledge that you've checked the superannuation contribution report and that the:
- Amounts are correct
- Team member fund details are correct
- Nominated bank account that funds will be deducted from is correct
If you have reviewed, click Reviewed.
The superannuation report will be sent to the Beam clearing house and the required superannuation payments made to each team member's superannuation fund.
What should I do if I see errors?
If Deputy finds any missing or incorrect details during the payment validation, a red error box will appear with a list of all errors that must be fixed before the super can be processed.
Note: If a team member chooses your default fund when onboarding, Beam sends the request for a new member account to be created. The team member will receive confirmation and the member number directly from the fund. You'll need to follow up with the team member or your default fund to obtain their member number and add this to the team member profile because the member number is required for future contributions to be received by the fund.
Once you have fixed any errors, click the Refresh button to confirm.
How do I make a super payment through the payment gateway?
Once the super contribution report has been confirmed, you can process the super payment by clicking Submit Super.

The Beam Clearing House Payment Gateway window will open. Confirm the details in the payment gateway, making sure that:
- The nominated bank account from which the funds will be deducted is correct.
- The super to be paid amount matches the amount in your accounting suite.
- Once you have confirmed the figures, enter the amount to be processed in the Enter amount to confirm box.
- Click the Reviewed button after everything has been confirmed, and then click Pay Super to make the super payment.
The data has now been sent to Beam, who will debit your specified business bank account and send the contributions to the nominated superfunds. Funds will be debited within 1-5 days by Beam (Precision Administration Services Pty Ltd).
