If you need to add or replace the same comment or note to multiple shifts or every shift on a specific day or week, you can do this with bulk updates in the schedule.
Bulk update shift notes for multiple shifts
1. Firstly, use the date and schedule view selectors to ensure that the schedule is filtered and that all shifts you wish to apply the comment to are visible. In this example, the schedule has been filtered to show all shifts scheduled at location "Antigua Room" for the week of 20 Jul - 26 July.
2. To select the shifts, hold the Command key(macOS)/Control key (Windows) and select every shift you wish to add a shift note to.
Note: This method will replace any existing shift notes for all selected shifts. If you do not wish to change the notes for a specific shift, ensure it is not selected before continuing.
3. Click on the Edit menu and select Bulk update.
4. Click on Shift note and select Add and Replace.
5. Add the specific shift note you wish to apply to all displayed shifts and click Update.
6. You can see that the shift note has now been applied to all selected shifts, and other visible shifts remain unchanged.
Note: When you click "Update," the shift note will be visible on all shifts, and you do not need to publish the shifts if they have already been published.
Bulk update shift notes for a specific day or week
1. Firstly, use the date and schedule view selectors to ensure that the schedule is filtered to display only the shifts you wish to apply the comment to. In this example, the schedule has been filtered to show all shifts scheduled at location "The Azure" on Saturday, 20 April.
2. If you want to exclude an area from having its shifts updated with the new note you can use the arrows to collapse the area and hide it from view. In this example, shifts at the "Pop up Van" and "Front Desk" will be excluded from the bulk update.
Note: This method will replace any existing shift notes for all visible shifts. If you do not wish to change the notes for a specific shift, ensure it is not visible before continuing.
3. Click on the Options menu and select Bulk update.
4. Click on Shift note and select Add and Replace.
5. Add the specific shift note you wish to apply to all displayed shifts and click Update.
6. You can see that the shift note has now been applied to shifts in all displayed areas on the schedule. When we show the previously hidden areas of "Pop up Van" and "Front Desk" you can see the shift note was not applied to shifts in these areas.
Note: When you click "Update," the shift note will be visible on all shifts, and you do not need to publish the shifts if they have already been published.
