Connecting Deputy to Flare HR allows you to import and sync your employee details from FlareHR to Deputy and also (optionally) sync the employees' leave balances.

Before you connect
Please ensure:
- you are logged into Deputy as either a System Administrator or Location Manager for the location you are connecting to FlareHR.
- you have access to your FlareHR account and have contacted FlareHR support to request your API key.
Connecting Deputy to FlareHR
Read Connecting New Integrations for an introduction to connecting to third-party systems.
1. Select Integrations from the dropdown menu under your name.
2. Click on FlareHR.
3. Click Connect for the Deputy location you wish to connect to FlareHR.
4. Enter the FlareHR API Key provided by the FlareHR support team.
Note: Once you have entered the API key, if it at first appears that the connection has NOT been successful, please refresh your browser before troubleshooting any further.
5. Once you have connected to FlareHR click on Configure
6. Click ACTIVATE for the functionality you wish to activate.
Syncing your workers from FlareHR to Deputy
You can import workers from FlareHR to Deputy automatically by activating New Worker > Sync To Deputy.
Syncing a new worker will send the employee's:
- First name
- Last name
- Email address
- mobile number
- date of birth
- address
- start date
- gender
- emergency contact name
- emergency contact number
from FlareHR to Deputy.
You will be presented with several configuration options to adapt the worker sync for your needs. Click Save.
After you save, New Worker > Sync to Deputy will appear under the 'Active' section of your integrations. You can now trigger a worker import by clicking Edit then Run Now and entering the desired timeframe.
Note: When importing larger groups of employees, it may take up to 24 hours for them to show up in Deputy
Configuration options for worker Sync
Which employee identifier would you like to import to use for payroll?
You can choose to import:
- a FlareID or
- an Employee number
- none
from FlareHR to associate with the employee when exporting to payroll.
What FlareHR Grouping would like to map to Deputy Locations?
Deputy matches location names with a FlareHR grouping in order to automatically import employees to the correct location. You may choose to match Deputy locations with either:
- Divisions
- Departments
- Locations
within FlareHR, depending on how your business is structured.
If we can't match a FlareHR location where should we import the employees?
When workers are imported, Deputy will attempt to match the employee's location with a field from FlareHR as listed above. If a mapping can't be made automatically, Deputy can either skip importing these workers, or import to the location you specify.
Invite imported employees to Deputy?
Would you like imported employees to be automatically emailed an invitation to join Deputy? Once they join Deputy via this invitation they will have access to Deputy.
Apply these settings to all Deputy locations
All of your Deputy locations will import employees from any matching FlareHR grouping. You will need to revisit the location you have set the integration up from to change these settings.
Syncing leave balance from FlareHR to Deputy
Additionally, you can also import leave balance for workers from FlareHR easily.
Assuming you have connected with Deputy, find Leave Balance > Sync to Deputy in the list of integrations and click ACTIVATE and then Save. You can turn this on for all locations or just the location you selected when you connected FlareHR.
