Note: If you change your password within Redcat, this will unauthorize the integration's connection, and you will need to complete the authentication steps again to reconnect Redcat to Deputy.
Connecting with Redcat
Read Connecting New Integrations for an introduction to connecting to third-party systems.
Once you have selected Redcat, a pop-up will appear where you will need to enter:
- your URL (as noted above, you will need to contact Redcat to retrieve your URL)
- your username
- password
to create the connection.
Once you have authenticated the connection you will be returned to the Deputy integration page and you should be able to see your location as a Connected location. You may need to refresh your browser if the connection does not display instantly.
Now you are ready to configure the integration.
Configuring your integration
1. For the location you have connected to Redcat, click on Configure.
2. There are two integration services for Redcat (discussed below) you can configure by clicking Activate.
Import Employee > Sync Team member
When this integration is run, this will create accounts in Deputy for any team members within Redcat.
IMPORTANT: when you first connect Redcat to Deputy and activate the Sync Team Member service it will pull ALL employees from your Redcat account into Deputy.
Select which Deputy Area you wish sync'd team members to be added to in Deputy and click Save.
The following information is copied over from Redcat to Deputy:
- First name
- Last name
- Email address
- Phone Number
The team member's email address is the unique identifier for the data set, therefore, you can edit a team member's details as many times as you want in Redcat and it will sync to Deputy matching up with the existing unique email address. However, if you change a team member's email address in Redcat, this will create a new account in Deputy as Deputy will identify the new email address as a new set of data.
Note: this integration is a push from Redcat, which means all data that is created in Redcat is pushed into Deputy in one direction. Editing an employee in Deputy will not sync the information over to Redcat in the other direction.
Import Sales > Sync Sales
Automatic ongoing sync
This function will automatically (every 15 minutes) sync all sales data created in the point of sales system and add this sales data into Deputy. You can also sync historical sales data
The following sales data is imported into Deputy:
- Sales Reference
- Sales Amount
- Sales Timestamp
Select:
- which Redcat store's sales you wish to sync
- which Location or Area in Deputy you wish to match the sakes to and click Save.
Sync historical sales data
There is also the option to perform a historical sync of sales data once you have made a connection to Redcat. You might wish to do this the first time you connect to Redcat to have some historical sales data in Deputy or you might wish to perform this if you have been offline unexpectedly and need to 'catch up' syncing some missed previous sales.
To do this open up your connected integration and click Edit on the Import Sales integration that is active.
Toggle the Track Sales per team member setting to OFF and then click Save.
Now click Edit again to reopen the integration
Click on the drop-down arrow that appears next to Run now and select the historical sales data you would like to sync. Be aware that the more data you choose to sync, as well as how many sales transactions are in your Redcat account over the specified period, will affect how long the sync takes to complete.
Troubleshooting
The integration connection will auto-disconnect when Deputy's authentication process with Redcat fails twice in a row. This may be caused by events such as users changing their password in Redcat.
If this occurs then you will need to set the integration connection up again using the new Redcat password to authenticate.
