What are Export Code Templates?
Export Code Templates dynamically generate export codes using information from pay rules, classifications, and junior rates.
This allows you to distinguish between different pay rule returns when exporting timesheets to your payroll provider.
For example, you can use Export Code Templates to differentiate pay rates based on a team member's classification or age, or when using Area Based Pay.
How to set up an Export Code Template
You can configure Export Code Templates through Pay Rate Builder in Business Settings.
-
Open Business Settings.
-
Open the Pay tab and click View pay rates to access Pay Rate Builder.
Business Settings (classic) Business Settings (Click to Expand)
-
Select the pay rate you want to edit by clicking its name or View.
-
Open the General tab and click Edit under Export Code Template.
-
Enter your Export Code Template using the relevant parameters enclosed in double curly brackets.
Tip: Pay rates with names beginning with TP (template) have been copied from Deputy's pay rate library. See Introduction to Pay Rate Builder for more information.
Available Export Code Template parameters
Export Code Templates use parameters enclosed in double curly brackets to generate export codes dynamically.
You can use the following parameters:
| Parameter | Description | Example |
|---|---|---|
| {{EXPORTCODE}} | The export code of the payrule | Ordinary, Overtime |
| {{LEVEL}} | The classification export code | Level 1 |
| {{JUNIOR}} | The junior export code. If an adult, or the date of birth isn't set, this will default to ADULT. | ADULT, 17yo |
For example, an Export Code Template using {{EXPORTCODE}}-{{LEVEL}}-{{JUNIOR}} could generate an export code such as DailyOT-L1-18yo, depending on the configured values.
How to configure classification export codes
You can configure export codes for individual classifications in the Regular Rates section of Pay Rate Builder.
If a classification export code is not configured, Deputy uses the classification level name by default.
How to configure junior export codes
You can configure export codes for junior pay rates in the Junior Rates section of Pay Rate Builder.
Deputy uses ADULT as the junior export code when:
- The team member is an adult.
- The team member does not have a date of birth recorded in their profile.
If Use adult rate and export code is selected in the team member's People Profile, Deputy also uses ADULT as their junior export code.
How to export using Export Code Templates
Export Code Templates are currently only compatible with the Custom Payroll Exporter.
You can only use Export Code Templates when exporting timesheets through the Custom Payroll Exporter.
To insert the Export Code Template, please select Dynamic Export Code from the dropdown under Timesheet.
