Exporting to ADP - File Downloads

For file download exports, you will need to ensure that the file is downloaded to a place on your computer that is easy to find. You will need to find this file when importing into ADP.

Ensure that you have timesheets approved before you begin the export process. Please note: Employees need to have assigned payroll IDs before you can export them. If they do not, you cannot export those particular employee's timesheets.

Navigate to the Export Timesheets tab and select the employees you would like to export.

In the pop-up window that appears, select between ADP PayLine (AU) - File Download or ADP Run (US) - File Download, depending on which system you would like to export to, then click 'Export' when you are done.

ADP PayLine (AU) - File Download

With ADP PayLine (AU), you can change the export file name, and you can also modify the Export Client ID.

ADP Run (US) - File Download

Firstly, ensure their timesheet export code is set to the corresponding employees Time Clock ID ( Employees -> Directory -> *Select Employee* -> Employee TimeClock ID)

Then, select ADP WorkForce Now (US) from the File Dropdown. From here, you can edit the following:

  • File name

  • Export co code

  • Whether to map Deputy Areas or Deputy locations to Worked Departments within ADP Run

Then, set the IIQ to the Customer ID (ADP Run Home -> Scroll to bottom -> The first 8 digits next to the header “Customer ID”)

If you choose to map Deputy Areas as a worked location within ADP Run, please ensure that area names match with an ADP Run department code (Setup -> Validation Tables -> Department -> Code). If you choose to use a Deputy Location as a worked location within ADP Run, please match the location export code to a valid ADP Run department code

Additionally you should now use Deputys Pay Rate Library to generate overtime / double time and other pay conditions automatically. You can learn more about the Award Library and US labor laws here: Pay Rate Library and USA State Labor Laws.

ADP Workforce Now (US) - File Download

Firstly, ensure their timesheet export code is set to the corresponding employees File Number (Home->People-> Employment Profile->Position->File # )

Then, select ADP WorkForce Now (US) from the File Dropdown. From here, you can edit the following:

  • Export file name

  • Export Co Code

  • Batch ID

  • Pay #

  • Whether to export as leave or a timesheet

The Co Code should be equal to the Co Code within ADP (Setup -> Payroll -> Company Options -> Cocode)

When you are done, click the 'Export' button, and you will be prompted to name this file.

When naming this file, you must use the following format:

PR[Export Co Code]EPI <----- format of file name

So, if the Export Co Code is UHQ, then your file should be named PRUHQEPI.csv when exported.

You can now use Deputys Pay Rate Library to generate overtime / double time and other pay conditions automatically. You can learn more about the Award Library and US labor laws here: Pay Rate Library and USA State Labor Laws.

Timesheets should be imported in Process->Import->Paydata, while leave exports should be imported in Process->Import->Time and Attendance
