Can I attach a document/picture/video?

Yes, News Feed posts can have the following file formats attached:


You can attach up to 4 files per post.

What size limits apply to attachments?

10MB per file.

Can I insert a link in my post?

Yes, just write or copy the URL into your post and the receiver will be able to click on it and open the webpage in their web browser.

What is the character limit on a News Feed Post?

3000 characters per post.

How / Can I edit a post?

Currently, you are unable to edit news feed posts once they have been posted but you can delete posts you have created.

Can I send a message to all employees currently on shift?

You can send a post to all employees that work at a particular location.

There is also a feature within Deputy to send a message to all employees currently on shift at a particular location.

Can we set groups for employees?

Currently, this feature is not available in the News Feed.

Can I send a reminder to staff who have not confirmed they have reviewed my post?

Currently, within Deputy, there is no method to send reminders to staff who have not viewed important posts.

Once a message has been sent, can I share it with more people later?

Yes, but only if the message was sent requiring confirmation from the receiver. You can then follow this process on the Deputy web app to share the message again. (Note: the option to share the sent message is not available when accessing the News Feed via the Deputy mobile app)

If the original post was created NOT requiring confirmation from the receiver then you are unable to share it again and will need to create a new post.

How do I read my staff employees direct messages?

You can view/read your direct messages via the News Feed if an employee has sent you a direct message. You will receive a notification, and once you navigate to the news feed in Deputy you will be able to view the message and respond.

System admins can not view direct messages that have been sent between other employees.

Can system admins read all direct messages?

Direct messages can only be read by the people to who the messages have been sent to. System admins can not view direct messages that have been sent between employees.

How do I disable the News feed?

Currently, there is no way to disable the News Feed.

I don't seem to be receiving notifications for News Feed posts?

If you are not receiving any email notifications on the Deputy web platform, you can go into your Deputy profile and re-subscribe to email notifications.

Click on your Account Overview from the right-hand side drop-down menu.

In the Account Overview, under the Profile tab, you can click on the link to re-subscribe to emails notifications.

On mobile platforms within your settings, locate the Deputy app and from here ensure that the app is given the appropriate permissions to display notifications.

If you are still not receiving any notifications on your Deputy app please ensure you are on the latest version and uninstall and reinstall the app.

If the issue still persists please contact one of our friendly support staff who will be able to assist you further.

How can I customize the order of the posts in the News Feed?

Currently, there is no option to customise the order the news feed posts. However, you are able to filter the view of the posts by:

  • All Posts

  • Important Posts (those marked as requiring confirmation)

  • Your Posts (those that you created).

  • Posts in a specific location by selecting that location on the left.

Why is X employee not receiving Y news post?

One of the reasons that an employee is not receiving a news post is because either they have not been included in the list of recipients or they are not in the area to which the news feed message as posted.

How will my employees know I've posted a message for them?

New posts will appear on Deputy's News Feed page. However, employees using the Deputy mobile app will also be informed they have a news feed post to read as it will display as a push notification on their device as soon as you post the message. They can touch on this notification to read the message, confirm and comment to reply.

How can I see which employees have read my message?

If you turn on the "require confirmation" feature when creating a post then you are able to view a list of which team members have viewed and confirmed your message and which ones have not.

Who can create a post that requires confirmation from the receiver that they have read it?

Only users with higher level user access may request confirmation from those below them in the hierarchy that the message has been read.

How do I delete a News Feed Post?

To delete a news feed post, simply mouse-over the post you would like to delete and click the red 'Trash' icon.

Please note that you can only delete posts from users who are under you in the Access Level hierarchy, therefore, you may not see this icon appear on posts other than your own.

Who deleted our posts / Why are they missing / Where have our posts gone?

We cannot determine who has deleted certain posts within Deputy. The only staff members who have the permissions to delete a news feed post are system admins, and anyone higher up in the hierarchy to the employee who posted on the news feed.

How / Can I delete the post of other staff & system admins?

Posts within the Deputy News Feed can only be deleted by staff members who have the appropriate permissions and are higher up on the access hierarchy.
