How To Access the Importer Wizard

The importer is accessed differently whether you are on our Premium or Enterprise plans.

Enterprise

First, click on 'Enterprise' to access the Enterprise dashboard.

Under 'Custom Development', click 'Import Data'.

Clicking this will bring you straight to the importer.

Premium

To access the importer, you will need to add this backend link to your Deputy URL:

/exec/import/import_data

For example, your URL may look like this:

testURL[region].deputy.com/exec/import/import_data

This will bring you straight to the importer.


How To Use the Importer Wizard

To get started, access the wizard using the instructions above based on your Deputy plan.

In the drop-down box, select the type of data you would like to import.

In this example, we'll upload 'Area' data.

Looking at the import file, we will add two new areas to two different locations.

Now simply upload your file. You can drag and drop the file into the box, or click 'Import from Excel/CSV' and selecting the file.

Now we will need to map the fields. This will ensure that the correct data is imported.

Fields:

  • Company - Refers to the business name

  • Operational Unit Name - The area you would like to add/import

  • Show on Roster - Whether the area will appear in your schedule

  • Active - If you would like the area to be active

These fields may vary based on the type of import.

The Sample Record Data can help you clarify and confirm that you have mapped the correct fields. Click 'Next' when you are ready to continue.

On the next page, you can edit any details that may be incorrect.

If there are any areas you do not want to add, but were included in the file import, you can simply unselect the checkbox for the corresponding area.

Click 'Next' to continue. A progress bar will appear which will update you on the status of your import.

After the import is complete, you can go to the relevant page to confirm the changes.

In the example used, the 'Delivery' area was imported to Bob's Burgers. We can now see it in the Areas list.


Using Leave Balance Import Template

When using the Leave Balance import template the first column specifies "Employee".

This field actually supports the employee's name OR the unique Employee Record ID given to the employee in Deputy.

For the removal of ambiguity in the case of two employees with the same name, it is preferable to use the Employee's Record ID in this field.

Enterprise customers can access the Employee's Record ID by downloading the csv file in their People tab.

Premium account customers should contact support if they need to access their employee's Record ID for Leave Balance Import purposes.
